Collecting Business Documents with Applicant Tasks

Last updated: October 27, 2026

Business applications often require documents such as articles of organization, operating agreements, EIN confirmation letters and beneficial ownership documentation. When all of these are required inside the application flow, applicants who don’t have every file on hand may leave to find them and never come back.

With Applicant Tasks, your financial institution can request these documents after the application is submitted. Your team reviews the application first, then requests the remaining documents only for applications you plan to move forward.

Why Use This Approach

  • More submitted applications. Applicants can finish without stopping to track down paperwork.

  • Shorter time to submission. A shorter flow means applicants reach the submit button faster.

  • Earlier review. Your team sees applications sooner and can start evaluating them right away.

  • Less wasted follow-up. Staff only request documents for applications you intend to approve.

  • A better first impression. Applicants get a smoother experience with your financial institution from the start.

How It Works

  1. The applicant completes a shorter application that asks only for what your team needs for an initial review.

  2. Your team reviews the submitted application.

  3. If you want to move forward, your team assigns Applicant Tasks for the remaining documents.

  4. The applicant sees each request under Additional Information Requests in their onboarding portal and uploads the documents from any device.

  5. Your team is notified as documents come in and tracks each request’s status in the Applicant Tasks tab.

Setting It Up

1. Decide What Stays in the Application Flow

Work with your DPM to identify the minimum documents and information your team needs to review a business application. Anything not needed for that initial review is a good candidate for an Applicant Task.

2. Create Templates for Your Standard Business Documents

Go to Configure → Applicant Tasks and create a Document upload template for each document you collect regularly. For example:

Template Title

Example Specific Instructions

Articles of Organization

Upload your filed articles of organization or incorporation, including the state filing stamp.

Operating Agreement

Upload your most recent operating agreement, including all signature pages.

EIN Confirmation

Upload your IRS EIN confirmation letter (CP 575 or 147C).

Beneficial Ownership

Upload documentation identifying each individual who owns 25% or more of the business.

Use Specific Instructions to describe exactly what an acceptable document looks like. Clear instructions reduce back-and-forth with applicants. If a document may come in several files, turn on Variable number of documents.

3. Assign Tasks After Review

When your team decides to move an application forward:

  1. Open the application and click the Applicant Tasks tab.

  2. Click + Add Task and select a template.

  3. Use the Assign To dropdown to send the request to the right person, such as the primary applicant or an authorized signer.

  4. Repeat for each document you need.

4. Track and Follow Up

  • Monitor each task’s status (Requested, Received or Waived) in the Applicant Tasks tab.

  • Send an email reminder for any outstanding item from the task’s ⋯ menu.

  • Use Waived instead of Delete if a document turns out not to be needed. This keeps the task in your audit history.

Making the Change

Removing document requirements from your application flow is a configuration change. Contact your DPM to make this change. They can help you decide which documents to keep in the flow, which to move to Applicant Tasks and how to set up your templates.
